Profitability

Know which projects and clients actually make money

TimeMagick is project profitability software built on the work your team already tracks. Hours, project budgets, client rates, expenses and billing sit in the same system, so you can compare client revenue, profit and margin, see projects over budget, and find hours that haven't been invoiced.

Busy does not always mean profitable

Activity, revenue, margin and profitability are different things. In project-based work they drift apart quietly, one hour at a time.

    Activity

A project can be busy every week and still be losing money, because hours are being spent that the fee doesn't cover.

    Revenue

A large client can generate the most revenue and still produce a weak margin once the hours and costs behind it are counted.

    Budget

A project can be delivered on time and to the client's satisfaction, yet use far more engineering hours than were planned.

    Billing

Work can be finished and approved but still not have reached an invoice, so it has cost you hours without yet producing revenue.

    Why TimeMagick can show profitability

Profitability numbers are only as good as the data under them. Tracked time, project budgets, client rates, project expenses, approvals, project billing and invoices all live in TimeMagick, and each step below happens in the same product, on the same projects, so the KPIs draw on the hours, costs and billing your team recorded in TimeMagick rather than on figures copied between tools.

    1. Tracked work

Time is recorded against a specific project and task.

    2. Project and client

The project holds its budget and delivery information; its client carries an hourly rate in its own currency.

    3. Costs

Project-related expenses are recorded in TimeMagick.

    4. Approval

Tracked time goes through approval, where the billable percentage can be adjusted.

    5. Project Billing

Billable hours are compared with hours already billed.

    6. Invoice

Billable work becomes invoice lines and invoice records with a status.

    7. Profitability analytics

The KPI module shows revenue, profit, margin and other indicators from the same data.

Not every step is automatic: setting budgets and rates, approving time and creating invoices remain part of your team's workflow. The point is that nothing has to be exported between separate tools along the way. These are project and client profitability analytics built from operational data, not formal accounting statements.

    14 business KPIs

The KPI module opens with 14 headline metrics, each shown with its change from the previous period. Grouped here by what they tell you:

    Profitability

    • Revenue
    • Profit
    • Avg Client Profit
    • Avg Client Margin
    • Effective Rate

    Client relationships

    • Active Clients
    • Cold Clients
    • Avg Cooperation Length
    • Repeat Client %
    • Retention %
    • Avg Project Gap

    Delivery and capacity

    • Utilisation %
    • Projects Over Budget

    Risk

    • Revenue Concentration %

    Effective Rate

Effective Rate is shown as an amount per hour next to your revenue and profit, so the value of an hour of your team's work sits beside the totals.

Utilisation % and Projects Over Budget

Two delivery metrics tracked in the same headline row: Utilisation % and the number of Projects Over Budget.

    Retention and repeat clients

Repeat Client %, Retention %, Avg Cooperation Length and Avg Project Gap describe how your client relationships are developing, not just what they earned this month.

    Profitability over time

A single month can mislead. Four trend views show how things are changing:

    • Revenue Trend and Profit Trend, side by side.
    • Billable vs Non-Billable Hours, to see how much tracked work is billable.
    • Client Activity Trend, showing active, warm and cold clients over time.

    Client and project profitability insights

Six insight tables turn the headline numbers into specific clients and projects to look at.

    Most Profitable Clients

Clients ranked by profit, with their margin, so you can see which relationships carry the business.

    Least Profitable Clients

The clients with the weakest profit and margin, where pricing, scope or delivery may need a second look.

    Low-Profit Projects

Individual projects with weak profit and margin, so problem jobs are visible by name.

    Falling Activity

Clients whose activity this period is lower than in the previous period, shown with their status.

    Uninvoiced Hours

Hours by client that have not yet made it through billing, so finished work doesn't quietly go unbilled.

    Revenue Concentration

How much of your revenue comes from your top clients, with a risk indicator, showing how dependent the business is on a few relationships.

Illustration of the six insight tables (demo data; the risk rating shown is an example).

    Client Health

The Client Health ledger puts every client on one line: revenue, profit, margin, cooperation length, last activity and an Active, Warm or Cold status.

For a business running many client relationships at once, it shows which clients are active, which are going quiet, and which are busy but thin on margin. The ledger is searchable and exportable.

    Example

    A fixed-fee engineering project

An engineering studio sells a fixed-fee drawing package with an hour budget. Engineers track time against that project and its tasks from the desktop app. Revisions come in, and the hours keep climbing, while the invoice value stays the same.

Because the hours, the budget and the billing belong to the same project in TimeMagick, the change shows up where it matters: on the project's budget, and in the project and client profitability views, rather than weeks later in a spreadsheet.
