From client work to what you actually earned

As a freelancer, your hours are the product. Hours tracked in one app, invoices written in another and income checked in a spreadsheet leave the same questions open every month: what have I worked but not billed, and which clients pay well for the time they take?

TimeMagick keeps the hour, the billing decision, the invoice and the client's profitability in one chain:

    1. Step 1

      Client work

Each client gets projects and tasks.

    2. Step 2

      Track time

Desktop, mobile or manual time against the task.

    3. Step 3

      Review billability

Set how much of each entry is billable.

    4. Step 4

      Project Billing

See billable against already billed hours.

    5. Step 5

      Invoice

Invoice the approved hours, or schedule it.

    6. Step 6

      Profitability

See effective rate and margin per client.

    Freelancer time tracking

    Every client hour belongs somewhere

In TimeMagick, time is never just a number on a timer. You track it against a client, a project and a task, so every hour is ready to be billed and counted in that client's profitability later:

    A plain timer

    Tuesday: 7 h 30 min

No client, project or task behind the total.

    Client → project → task

    • Harbor Labs → Website redesign → Development → 3 h 10 min
    • Harbor Labs → Website redesign → Revisions → 1 h 15 min
    • Acme Retail → Brand guidelines → Design → 1 h 30 min

Illustrative entries; tasks can be Design, Development, Research, Revisions, Meetings or Administration.

The Windows desktop app records time against the project and task you choose, along with idle time; you can also track on iOS and Android or add manual time with a reason. Your timesheet and timeline show each day as worked, idle and manual time.

    Billable hours

Decide what is billable before creating the invoice

Not every worked hour should be charged. A task took longer than you quoted, a revision round was your call, and administration is part of running the business. In tracked-time approval you set a billable percentage for each entry:

    1. 6 hours worked
    2. approved at 75%
    3. 4.5 billable hours
    4. Project Billing
    5. invoice

Administration can be approved at 0%, and the project's budget is shown beside the billable total, so you see how much of the quote the work has used while you decide.

    Project Billing

Know what is billable and what is already billed

Project Billing answers the question freelancers ask most often: what have I worked that I still haven't charged for?

    • Worked hours: everything you tracked for the client
    • Billable hours: what you approved for billing
    • Billed hours: what is already on an invoice

The gap between billable and billed hours is work that is finished but not yet invoiced, shown per client and project.

    Freelancer invoicing

Create the invoice from the work

The invoice starts from the approved hours instead of a blank document. Choose the client and project, add duration-based lines for your hours and quantity-based lines for fixed items such as a licence, then taxes and notes.

    • Due date and status for every invoice
    • PDF download, in the client's currency
    • Scheduled recurring invoices, for example monthly support, with an approval step when they become due

TimeMagick creates and tracks invoices; it does not collect online payments.

    Projects

Keep multiple clients and deadlines organized

With several clients at once, deadlines collide. The Projects board shows every project as a card with its client, due date, tasks, time against budget and completion, in statuses you define, such as To Do, Client Review and Completed.

Each project has tasks with their own budgets and progress, and the Gantt shows when each piece of work is planned, so you can see where next week's deadlines overlap before you promise another start date.

    Client reports

Give clients answers without building another spreadsheet

When a client asks where the hours went, the report is already there: filter by client, project, task and date range, show worked or billable time, and export it as a formatted Excel file.

If a client wants to follow the work themselves, you can invite them as a Client Member. They get their own workspace with a Dashboard, Projects, Timesheets, Report, Message Channels and Sensai, without access to your billing, invoices or profitability. It is optional; many freelancers simply send the report.

    Project expenses

    Track project expenses too

A project's cost is not only your time. Subcontracted work, printing, materials or software bought for one client belong to that project. In TimeMagick, each expense is recorded against the project with your own categories and a status.

Recurring costs, such as a monthly tool subscription, have their own schedule and Payment History. Expenses count towards the project's margin, so a well-paid project with heavy costs shows up for what it is.

    Your work patterns

    Understand your own work patterns

The desktop app also shows where your working day goes: your Activity %, the apps and websites you used and how long, and whether that time was productive, neutral or unproductive by your own classification.

It is a way to spot interruptions and time sinks, not surveillance: TimeMagick never takes screenshots, and Private Time keeps app and URL detail out; it is recorded separately and not counted as worked time.

    Freelancer profitability

Find out what your time is really worth

The client with the biggest invoice is not necessarily the one worth the most. If they take disproportionately more of your time, the hour you spend on them earns less than an hour for a smaller client.

    Client A

    €4,000 invoiced for 80 hours

    €50 per hour

    Client B

    €2,400 invoiced for 30 hours

    €80 per hour

    Illustrative arithmetic, not customer data.

TimeMagick calculates this from the hours, rates, invoices and expenses already in it. The KPI module shows Revenue, Profit, Avg Client Margin and Effective Rate, lists your Most and Least Profitable Clients, Uninvoiced Hours and Low-Profit Projects, and the Client Health ledger shows each client's revenue, profit, margin, cooperation length, last activity and active, warm or cold status.
