What problems does TimeMagick solve?
TimeMagick connects each hour to the project, the budget, the invoice and the margin, so teams do not have to reconcile timesheets, project plans, invoices and spreadsheets. Typical problems it addresses:
- Hours are tracked in one tool, projects planned in another and invoices written in a third
- Budget overruns are discovered after the project is finished
- Worked hours are never billed, or billed twice
- Clients ask for updates that take hours to put together
- Nobody can say which clients and projects actually make money
What platforms does TimeMagick support?
TimeMagick has a Windows desktop app for tracking time, a web app for managing projects, billing and reports, and apps for iOS and Android. Desktop and mobile time are reported separately.
What does TimeMagick track?
TimeMagick records time against a client, project and task, as worked, idle, manual and private time. While a person tracks time in the Windows desktop app, it also records activity levels from keyboard and mouse activity, the apps and websites used, classified productive, neutral or unproductive, and idle time over your company's limit.
How time tracking worksDoes TimeMagick take screenshots?
No. TimeMagick records activity levels and app and website usage during tracked time instead of images of the screen. Private Time withholds app and URL detail; it is recorded separately and not counted as worked time.
How activity monitoring worksHow does time tracking connect to projects?
In the Windows desktop app, time tracking starts when a person selects a project and task and presses Start. Every entry carries its client, project, task and member, which is what lets an hour become budget burn, a billable hour, an invoice line and part of a margin figure.
How project management worksHow do project budgets work?
Projects and tasks can have hour budgets, shown against spent time on project cards, the project overview, the Gantt, tracked-time approval and the admin dashboard, with budget alerts and forecasting.
How does billing and invoicing work?
Tracked time is approved with a billable percentage, so 5 hours approved at 80% become 4 billable hours. Project Billing shows billable against billed hours. Invoices have duration and quantity lines, tax, notes, PDF download, due dates and statuses, from multiple legal entities and billing accounts, and recurring invoices are scheduled and go through approval. TimeMagick does not collect online payments.
How billing and invoicing workHow does profitability reporting work?
The KPI module calculates 14 headline KPIs, trend charts, insight tables and a Client Health ledger from the hours, rates, invoices and expenses already in TimeMagick. These are management figures, not accounting statements.
How profitability reporting worksWhat is the client portal?
Client Members are external accounts linked to one or more of your clients. Their workspace has a Dashboard, Projects, Timesheets, Report, Message Channels and Sensai, without access to your internal billing, invoices or profitability.
How the client portal worksWhat is Sensai?
Sensai is TimeMagick's built-in AI assistant. You ask questions in a chat, and it uses your account's project, client and time data as context. Earlier conversations can be searched and continued.
Which companies are a good fit, and which are not?

Less suitable
