Mid-size companies

Keep project visibility and financial control as your organization grows

TimeMagick gives growing project-based organizations time tracking, project planning, approvals, permissions, billing and profitability in one system.

As more teams, managers and client projects share one organization, TimeMagick keeps the same structure underneath: defined roles, approval queues, a portfolio view of every project, budgets that stay visible, and billing and margin built from approved work.

Enterprise: custom pricing for 30+ users · Business plan: $9.50 per user per month, or $7.60 billed yearly, with a 1-month free trial

What changes as a company grows across teams and projects

With one team, the owner knows every project. With several teams and managers, the questions change: who may see which clients and rates, who approves whose time, which projects compete for the same people, and which clients produce margin once all of that is counted.

TimeMagick answers them from one connected structure:

    1. Step 1

      Teams & roles

Who belongs where, and who may see what.

    2. Step 2

      Project portfolio

Board, Gantt and resource plan across teams.

    3. Step 3

      Tracked time

Every hour against client, project and task.

    4. Step 4

      Approvals

Time, billability and expenses in defined queues.

    5. Step 5

      Billing

Project Billing and invoices per legal entity.

    6. Step 6

      Profitability

      Margin, utilisation and Client Health.

    Project management

Give every team one project operating model

When each team runs projects its own way, nobody can compare them. In TimeMagick every team works in the same structure: a drag-and-drop Projects board with custom and automatic statuses, projects with tasks, assignees, budgets and progress, and the same Gantt and resource planning.

Teams keep their own projects and assignees, and management still sees one portfolio instead of a collection of team spreadsheets.

    Activity monitoring

Give managers visibility without collecting screenshots

Managers of distributed teams need to know how time is spent without keeping an archive of people's screens. TimeMagick records Activity % from keyboard activity, mouse clicks and mouse movement, with weights and maxima your company configures, plus app and URL usage, idle time over your threshold and productive, neutral or unproductive classifications per role or member.

No screenshots are taken, and Private Time keeps app and URL detail out and is not counted as worked time. Who can see activity data is itself a permission.

    Roles & permissions

Control who can see and do what

As more people join, not everyone should see rates, invoices or every client. Every TimeMagick plan includes custom roles set across 40 permission modules, with View, Create, Update and Delete toggles where each action applies to that module.

    • Projects vs All Projects: a manager's own projects or every project
    • Reports vs Export Report: viewing a report and exporting it are separate rights
    • Project Channel vs All Project Channels
    • Lunch member view vs admin view

Members are grouped into Teams, custom roles such as Project Manager or Contractor are yours to define, and Owner and CLIENT are locked system roles. Pages a role cannot access redirect to a no-access page.

    Approvals

Replace ad-hoc approvals with a defined workflow

In a growing company, approvals by message and memory stop scaling. TimeMagick gives each kind of approval its own queue, with its own filters and a Pending, Approved or Declined state for every item:

    • Manual Time: Pending, Approved and Declined, each entry with its reason
    • Tracked Time: Pending and Approved, with a billable percentage and billable time per entry
    • Company Expenses: Pending, Approved and Declined
    • Recurring Expenses: each due charge approved before it is written to Payment History
    • Recurring invoices: approved when they become due

Manual Time, Tracked Time, Company Expenses Approval and Recurring Expenses Approval are separate permission modules, so a role can approve time without access to expense approvals.

    Portfolio

    See the whole project portfolio

With dozens of projects running at once, the portfolio Gantt puts every client's projects on one interactive timeline, with budget, spent, status and completion beside each bar. Clients expand to their projects, and each project's own Gantt shows its tasks and assignees, where you can drag to reschedule or resize a duration.

Day, Week and Month views cover the next sprint and the next quarter from the same data.

    Resource planning

    Plan resources across projects

Simultaneous projects compete for the same people. Resource planning shows who is assigned to which project tasks, week by week, across every project, so a manager can see that one designer is booked on three projects before a fourth is promised.

It shows the allocation; decisions about who moves where stay with your managers.

    Budget control

Budget control should not live in a separate spreadsheet

A budget checked once a month in a finance spreadsheet is too late for a project manager. In TimeMagick, budget against spent time appears wherever the project is managed:

    • Project cards: budget hours against allocated, turning red past 100%
    • Project overview: time spent against budget
    • Gantt: budget and spent beside every project and task
    • Tracked-time approval: the project budget beside the billable total
    • Admin dashboard: a Project Budgets table across all projects
    • Profitability: Projects Over Budget and project margin

Budget alerts and forecasting work from the same numbers.

    Communication

Keep communication tied to the work

Across many teams, a project decision made in a private chat is lost to the next person on the project. Every TimeMagick project gets its own channel automatically, beside its tasks, hours and budget, with files, emoji, unread badges and search.

Direct messages and groups cover everything else, and project channel access follows permissions: Project Channel for your own projects, All Project Channels for everyone's.

    How project communication works
    Illustration (demo data, fictional projects).
    Client workspace

Give external clients a controlled workspace

Clients should see their own work, not the company workspace. Client Members are external accounts with the locked CLIENT role, linked to one or more of your clients. Their workspace has a Dashboard, Projects, Timesheets, Report, Message Channels and Sensai.

Approvals, billing, invoices, profitability, internal modules and other clients' projects are not part of their workspace.

    Illustration (demo data, fictional projects).
    Billing governance

Build billing governance around approved work

Invoices should follow from decisions that were made and recorded, not from whoever last exported a timesheet:

    1. 6 hours worked
    2. approved at 80%
    3. 4.8 billable hours
    4. Project Billing
    5. invoice

Project Billing shows billable against billed hours for every client and project, so work is not invoiced twice or forgotten. Scheduled recurring invoices go through approval when they become due, and each invoice has a status, due date and PDF.

    Illustration (demo data, fictional projects).
    Legal entities

Invoice from multiple legal entities and billing accounts

Growing companies often invoice from more than one company. In TimeMagick, each legal entity has its own logo, address, VAT ID, business registration number and invoice prefix, and billing accounts hold the bank details shown on the invoice.

Each invoice is issued from a chosen entity and billing account, in the client's currency. TimeMagick issues and tracks the invoices; accounting and consolidation stay in your accounting system.

    Illustration (demo data, fictional projects).
    Reports

Give every manager the report they need

Different managers need different cuts of the same hours. TimeMagick has six reports: a portfolio Client Gantt, client hours by day, a client detailed report with budget hours, time spent, billable hours and billable amount, and member, project and expense reports. They filter by client, project, member, task and date range and export as formatted Excel.

Export Report is its own permission, separate from viewing, so a role can read a report without extracting the data.

    Profitability

    Understand performance beyond hours worked

Hours show activity; they do not show whether the organization is healthy. TimeMagick's KPI module turns the approved hours, rates, invoices and expenses into 14 headline KPIs, including Revenue, Profit, Avg Client Margin, Effective Rate, Utilisation %, Projects Over Budget, Retention % and Revenue Concentration %, each with its change from the previous period.

Trend charts, the Most and Least Profitable Clients, Falling Activity, Uninvoiced Hours and Low-Profit Projects, and a Client Health ledger with each client's margin, cooperation length, last activity and active, warm or cold status complete the picture.

Illustration (demo data, fictional projects and clients).

Revenue Concentration shows how much revenue depends on the largest clients; Falling Activity flags clients whose hours are dropping.

    FAQ

    Frequently Asked Questions

Teams, roles and permissions, activity, portfolio and resource planning, approvals, legal entities, client access and profitability.

Is TimeMagick suitable for mid-size companies?

Yes. TimeMagick gives growing project-based organizations time tracking, project planning, approvals, permissions, billing and profitability in one system. As more teams, managers and projects share the workspace, roles, approval queues, portfolio planning and client workspaces keep control in place.

Can TimeMagick support multiple teams and project managers?

Yes. Members are grouped into named Teams, and each person has a role. Project managers can work in the same Projects board, Gantt and resource planning as everyone else, while permissions decide whether a role sees only its own projects or all projects.

How granular are TimeMagick roles and permissions?

Every plan includes custom roles set across 40 permission modules, with View, Create, Update and Delete toggles where each action applies to that module. Examples of separate modules are Projects and All Projects, Reports and Export Report, and Project Channel and All Project Channels. Owner and CLIENT are locked system roles.

Does TimeMagick monitor productivity without screenshots?

Yes. TimeMagick shows Activity % from keyboard activity, mouse clicks and mouse movement with a configurable calculation, app and URL usage, idle time over a configurable threshold, and productive, neutral or unproductive classifications per role or member. It never takes screenshots, and Private Time withholds app and URL detail and is recorded separately, not counted as worked time.

Does TimeMagick include resource planning and portfolio Gantt?

Yes. The interactive Gantt works per project and as a portfolio Gantt with every client's projects on one timeline, showing budget, spent, status, completion and assignees. Resource planning shows who is assigned to which project tasks across simultaneous projects.

Can managers approve tracked and billable hours?

Yes. Manual time goes through Pending, Approved and Declined with a written reason. Tracked time is approved with a billable percentage per entry, with the project budget shown alongside, and bulk actions handle many entries at once. Company expenses and recurring expenses have their own approval queues.

Can TimeMagick support multiple legal entities for invoicing?

Yes. You can set up multiple legal entities, each with its own logo, address, VAT ID, business registration number and invoice prefix, and multiple billing accounts. Each invoice is issued from a chosen entity and billing account. TimeMagick is not accounting or consolidation software.

    Can clients have separate access?

Yes. Client Members are external accounts linked to one or more of your clients, with the locked CLIENT role. Their workspace has a Dashboard, Projects, Timesheets, Report, Message Channels and Sensai, separate from your internal workspace, without access to approvals, billing, invoices or profitability.

Can TimeMagick track project and client profitability?

Yes. The KPI module shows 14 headline KPIs, including Revenue, Profit, Avg Client Margin, Effective Rate, Utilisation %, Projects Over Budget, Retention % and Revenue Concentration %, with tables for the most and least profitable clients, Falling Activity, Uninvoiced Hours and Low-Profit Projects, and a Client Health ledger.

Does TimeMagick offer Enterprise pricing for larger teams?

Yes. Enterprise has custom pricing for 30+ users and adds branding customization, a dedicated subdomain, a dedicated account manager and 24/7 premium support to every Business plan feature. The Business plan costs $9.50 per user per month, or $7.60 billed yearly, with a 1-month free trial.
