    Give each campaign or programme an hour budget. TimeMagick shows it against time spent on the project card, in the project overview, on each Gantt task, beside the billable total in tracked-time approval and in the admin dashboard's Project Budgets table.     Marketing clients often ask what they are getting for their monthly fee. Client Members are external accounts linked to one or more of your clients, with a Dashboard, Projects, Timesheets, Report, Message Channels and Sensai.

    The Client Dashboard shows Total Projects, Total Tasks, Completed, Weekly Hours Logged and Overdue Tasks, with team members' hours and due tasks, and the Report shows the hours by project, member and task. Clients follow the work; they do not edit your projects.

    Separate worked time from billable time

    Not every hour worked on a client can be charged. The third round of concepts may be partly on the agency, and some account management is part of the relationship. In tracked-time approval, the approver sets a billable percentage for each entry:

    The project budget sits beside the billable total, so the decision is made with the budget in view.

    Turn approved hours into invoices

    Project Billing shows billable hours against hours already billed for each client and project, so nothing approved is left uninvoiced. Invoices combine duration-based lines for hours with quantity-based lines, such as a stock footage licence, plus taxes and notes, and download as PDF.

    For regular monthly billing, scheduled recurring invoices let you choose when an invoice becomes due; it then appears in TimeMagick and goes through approval. TimeMagick is not a retainer-management system or accounting software.

    Example: a seasonal launch campaign

    A retail client books a 140-hour spring launch campaign. In TimeMagick, the agency would:

    1. Create the campaign as a project with its client and 140-hour budget, and add tasks for Strategy, Creative, Copywriting, Paid Media and Reporting.
    2. Schedule the tasks on the Gantt and check the designer's and copywriter's other client work in resource planning.
    3. Have the team track time against those tasks, including account management.
    4. See Creative pass its budget after a third round of concepts, and agree the next steps in the project channel.
    5. Approve creative hours at 80% and the rest at 100%, then check Project Billing.
    6. Invoice the approved hours and the stock footage licence.
